Executive Operations Specialist (CEO Executive Assistant)

Job Summary: The role of an Executive Assistant supports a C-Level Executive or senior business leader. This is an important aide to the senior management layer, assisting the Manager in driving company business decisions, collecting critical key information, and conducting analysis and planning. Responsibilities: Assist senior management in organizing meetings and facilitating cross-departmental communication, ensuring smooth information flow and fostering effective collaboration. Assist in analyzing and executing departmental strategies and project decisions, to ensure that company goals and objectives are accomplished and that operations run efficiently. Implement internal policies and monitor the procedure, progress, and the executive of departmental tasks and assignments. Maintain and refine internal processes that support high-ranking executives companywide, and coordinate internal and external resources to expedite workflows. Gather, consolidate, and analyze relevant information, and provide the management team with insights, conclusions, and actionable solutions. Assist in creating presentations, managing documents, and tracking implementation of decisions. Assist in managing internal and external stakeholders and maintaining relationships with key clients, e.g. greeting cards and gifts distribution for festivals. Demonstrate initiative, multitasking capabilities, and problem-solving skills in handling various assigned tasks. Provide administrative and office support. Coordinate resources to streamline workflows and expedite project completion. Plan and orchestrate tasks to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld. Qualifications: Bachelor’s degree or above, preferably in Management, Business Administration, Marketing, Financial or related fields. Familiarity with corporate operations and management procedures is an advantage. Excellent communication, coordination, and interpersonal skills to interact effectively with personnel at all levels. Strong market/business analysis, strategic planning, and project management capabilities. Proficiency in organizing meetings, taking minutes, and following up on action items. High level of initiative and responsibility; capable of independently solving problems and completing tasks; possessing conceptual thinking. Excellent time management and multitasking skills, able to perform efficiently under pressure. Strong team spirit, actively participating in planning and executing team activities. Agile thinking, demonstrating solid logical analysis and sound judgment.
